If you’ve ever tried to build a Singapore payroll spreadsheet from scratch, you already know the trap. You start with a clean Excel sheet, add an “Employee Name” column, an “NRIC” column, a “Salary” column, and then realise you have no idea where the CPF calculations go, what format the CPF Board wants, or why your bank keeps rejecting your bulk salary upload. That’s the moment most SME owners give up and either subscribe to payroll software they don’t need or pay an accountant to do something they could handle themselves.
This article hands you a free Singapore payroll Excel template, or more accurately, a free tool that builds the spreadsheet for you. It pre-fills every column your bank and CPF Board expect, calculates CPF contributions automatically based on the 2026 rates, and produces a file you can immediately turn into a DBS, OCBC, or UOB bank upload or CPF EZPay submission. No formulas to debug. No columns to misalign.

What a Singapore Payroll Excel Template Actually Needs
Most “free payroll templates” you find online are built for the US or UK market. They have columns for Social Security numbers, federal tax withholding, Medicare. None of which apply in Singapore. A proper Singapore payroll Excel template needs to handle three things that those templates never do:
1. CPF contributions (employee + employer)
For every employee, you need to calculate two CPF numbers: the employee portion (deducted from gross salary) and the employer portion (paid on top). The math depends on:
- Age bracket (≤55, >55-60, >60-65, >65-70, >70). Rates step down with age.
- Immigration status (Singapore Citizen, SPR Year 1, SPR Year 2, SPR Year 3+).
- Ordinary Wage ceiling ($8,000/month in 2026, up from $7,400 in 2025).
- Additional Wage annual cap ($102,000 per year, minus OW already paid).
If your template doesn’t handle these four inputs, it’s wrong. Period.
2. Self-Help Group (SHG) contributions
Depending on the employee’s ethnicity, you may also need to deduct CDAC, MBMF, SINDA, or ECF contributions. These are small ($0.50 to $1.00 per month for most employees) but mandatory, and missing them creates reconciliation headaches at year-end.
3. Bank-specific upload formatting
This is where most home-built spreadsheets fail. Every Singapore bank has its own upload format, and a general-purpose Excel template can’t produce all of them. You need either multiple templates, or a tool that takes your spreadsheet and outputs the right format per bank.
The Hidden Cost of “Free” Payroll Templates Online
Search for “free payroll template Singapore” and you’ll find dozens of results. Here’s what almost all of them get wrong:
- Outdated CPF rates. Many still use 2023 or 2024 rates. The OW ceiling has increased twice since then.
- No SHG handling. Most templates ignore CDAC/MBMF/SINDA/ECF entirely.
- US/UK formatting. Columns for social security numbers, no NRIC field, wrong date formats.
- No bank-file output. Even if the math is right, you still have to manually transcribe the data into your bank’s upload format.
- Unverified formulas. A single cell reference error can under-calculate CPF for an entire year, and you won’t find out until CPF Board sends you a reconciliation notice.
The “free” part of these templates is real, but the cost of getting payroll wrong is much higher than the cost of a paid tool.
Our Free Singapore Payroll Spreadsheet Builder
Instead of downloading a static Excel template that you have to customise, our free /build tool generates a ready-to-use spreadsheet for you. Here’s what it does:
- You fill in a form. Company details (name, UEN, bank account), pay dates, and one row per employee with name, NRIC, birthdate, immigration status, gross salary, and any additional wages.
- CPF auto-calculates. The rate engine looks up 2026 CPF rates based on each employee’s age and immigration status, applies the OW and AW caps, and fills in employee and employer contributions.
- You can override per row. If you’ve already negotiated a specific CPF arrangement with an employee (or are prorating for a partial month), toggle off auto-calc for that row and enter your own numbers.
- You download a .xlsx. A properly-formatted spreadsheet with all four required sheets (
params, metadata, company, employees), ready to upload to any of our supported bank file generators or to keep as a record.
The whole thing takes about 5 minutes for a 10-person company. No login required. No payment. No email gate.

How to Use the Template
Once you’ve downloaded your spreadsheet, here’s how it flows into a complete payroll run:
Step 1: Review the auto-calculated CPF
Open the employees sheet. Each row should have employee_contribution and employer_contribution filled in. Compare these to your last CPF submission to sanity-check. If a number looks off, toggle auto-calc off in the builder and re-enter.
Step 2: Generate your bank file
Head to paygosg.com, upload the spreadsheet, and choose your bank format. You’ll get a single payment file ready to upload to your bank’s portal. The cost is S$4.99 per file, pay-as-you-go, no subscription.
Step 3: Generate your CPF submission file
The same upload produces a CPF EZPay DTL file (150-byte fixed-width, named per CPF’s convention: {CSN}{AdviceCode}{MONTH}{YY}.DTL). Upload it directly to the CPF EZPay portal and your CPF submission is done.
Step 4: Keep the spreadsheet
The .xlsx you built is your payroll record for the month. Save it in your HR folder. Next month, rebuild with updated figures and the rate engine will pick up any year-on-year CPF changes automatically.
Frequently Asked Questions
Is the template really free? Yes. The /build tool costs nothing and requires no account. You only pay (S$4.99 per file) if you want us to convert the spreadsheet into a bank upload file or CPF submission file.
Do I need to know CPF rates to use it? No. That’s the point. You enter each employee’s birthdate and immigration status; the rate engine looks up the rest.
Which CPF rates does the builder use? 2026 rates, including the $8,000 Ordinary Wage ceiling (up from $7,400 in 2025) and the $102,000 Additional Wage annual cap. See our complete CPF contribution rates guide for the full breakdown.
Does the template handle part-month joiners or leavers?
Yes. Each employee row has an employment_status field (E for existing, L for leaver, N for new joiner, O for joined-and-left same month), which the CPF EZPay file picks up. For CPF proration, toggle off auto-calc and enter the prorated amount manually.
Can I edit the spreadsheet after downloading it?
Of course. It’s a standard .xlsx. Open it in Excel, Google Sheets, or Numbers. The only thing to be careful of: don’t rename the sheet tabs (params, metadata, company, employees) or change column headers, or the bank-file generator won’t be able to read it.
Is my data stored? No. The /build tool doesn’t persist your inputs. The spreadsheet is generated in-memory and sent to your browser; nothing lands in a database.
What About CPF Rate Changes Next Year?
The CPF Ordinary Wage ceiling is currently $8,000 (as of January 2026). If history is any guide, it won’t change again until at least 2028. The previous increases were announced as a three-step rollout in Budget 2023 ($6,800 → $7,400 → $8,000). But CPF rate tweaks can happen any year, and SHG rates (CDAC, MBMF, SINDA, ECF) are reviewed periodically.
When rates change, our /build tool picks them up automatically. You don’t need to update formulas or download a new template. Just rebuild your spreadsheet when you process payroll and the latest rates apply.
Who This Template Is For
- SME owners doing payroll themselves to save on software subscriptions
- HR managers who need a backup when their main payroll system is down
- Bookkeepers and accountants handling multiple small clients. Each client gets its own spreadsheet.
- Founders launching their first hire and figuring out what “running payroll” even means in Singapore
- Anyone switching off an expensive monthly subscription and wanting a clean break
If you process payroll for more than 30 employees, you may outgrow a spreadsheet-based workflow entirely. At that scale, a full HRIS like Talenox or BambooHR makes more sense. But for the long tail of Singapore SMEs with 1 to 25 employees, a spreadsheet plus a one-time file generator is often the cheapest sustainable setup.
Stop Fighting Excel Formulas. Build Your Template Instead.
A well-formatted Singapore payroll spreadsheet is the foundation of cheap, accurate payroll. The problem has never been the spreadsheet itself. It’s been the formulas, the column ordering, the bank-file mapping, and the CPF rate lookups that go into making it actually work.
Our free /build tool takes all of that off your plate. Fill in a form, download a working .xlsx, and either use it as your monthly payroll record or feed it straight into our bank-file generator for S$4.99. No subscriptions. No formulas. No CPF rate table to maintain.
